Privacy Notice
How EVORENTIS handles personal information.
Privacy notice
EVORENTIS respects your privacy and only uses personal information for legitimate business purposes. This notice explains the information we may collect when you contact us, use our website, complete an assessment, buy a digital product, subscribe or engage with our services.
Information we may collect
This may include your name, business contact details, organisation, enquiry and correspondence, assessment results, subscription level, access and usage records, customisation requests, purchase and billing references, and limited technical information needed to operate and secure the website.
Why we use it
We use personal information to respond to enquiries, send assessment results requested by you, provide purchases and subscriptions, manage secure member access, deliver support, maintain business records, improve our services, meet legal obligations and protect our legitimate business interests. We use an appropriate lawful basis for each purpose.
EVORENTIS Pulse
If you ask for your Pulse result by email, we store the contact details and assessment result you submit so we can send the result, keep an audit record and understand interest in EVORENTIS services. Marketing permission is requested separately and is optional. Declining marketing does not prevent delivery of your result. We do not treat a result-email request itself as consent to marketing.
Membership and subscriptions
For members, we process identity and organisation details, the agreed plan, subscription status, term dates, entitlements, secure-login records, downloads, included-support usage and service requests. This is necessary to set up and perform the membership agreement, protect member content and administer the relationship.
Service providers and sharing
We do not sell personal information. We use reputable providers where needed to operate EVORENTIS, including Cloudflare for website infrastructure and protected records, Stripe for payment and subscription administration, Resend for transactional email, HubSpot for customer relationship management, and Microsoft 365 for business communication. Those providers process information under their own security and privacy arrangements. We may also disclose information where required by law.
Payments
Payment-card details are collected and processed by Stripe and are not stored by EVORENTIS. We retain identifiers, payment status and accounting information needed to administer the purchase or subscription.
Website enquiry forms
When you submit the website contact form, the information you enter is processed through EVORENTIS website infrastructure and delivered into the EVORENTIS Microsoft 365 environment at contact@evorentis.com. Infrastructure and email providers may process limited technical and message data as necessary to provide and secure the service.
Retention
Pulse assessment records are normally kept for up to 24 months unless a continuing customer relationship, legal requirement or earlier deletion request changes that period. Membership and transaction records are retained for the life of the relationship and for the applicable legal, tax and contractual record-keeping period afterwards. Login tokens are short lived; active member sessions expire automatically. We periodically review records and remove or anonymise information that is no longer needed.
International transfers
If a service provider processes personal information outside the UK, we use an appropriate UK data-transfer safeguard where one is required.
Your rights
Depending on the circumstances, UK data protection law gives you rights of access, correction, deletion, restriction, objection and data portability. Where processing relies on consent, you can withdraw that consent at any time.
Marketing
We handle direct marketing in accordance with applicable UK data-protection and electronic-marketing rules. Where consent is required, it is requested separately and can be withdrawn. Where business-to-business marketing is carried out on another lawful basis, recipients can object or opt out.
Contact and complaints
To ask a privacy question or exercise a data-protection right, use the EVORENTIS contact page or email contact@evorentis.com. You also have the right to complain to the UK Information Commissioner's Office.
